Principal’s Secretary

Job Description

 

Purpose:  The secretary provides office and clerical support to assist with the efficient operation of the school within the district.

 

Responsible to:  Roosevelt Building Principal

 

Qualifications/Requirements:

1.       Must have high school diploma or equivalency.

2.       Must have knowledge of computer usage and application.

3.       Must have mathematical and accounting skills involved with handling money.

4.       Must be able to follow oral and written direction.

5.       Must have the capacity to grasp and adjust to new and changing situations.

6.       Must possess excellent communication and organizational skills.

7.       Must be organized, self-directed, and cooperative.

8.       Must maintain confidentiality in all aspects of job performance.

9.       Must be courteous, helpful, and willing to be inconvenienced in order to get the job done.

10.   Must have the ability to communicate and work effectively and cooperatively with members of the school district and community.

 

Shared Job Functions:

1.       Greet and work with parents, visitors, staff, and students in a positive, friendly manner.

2.       Answer telephone, take messages, and refer calls for staff members and students.

3.       Perform secretarial duties for the principal, counselor and other staff as requested.

4.       Enter and maintain accurate data on staff and students in student data program(s), including daily attendance, demographics, contact information, and enrollment of new students.

5.       Maintain daily attendance, daily reports, and the student sign-in/sign-out book.

6.       Maintain the visitor check-in/check-out system.

7.       Maintain the daily log of the school year.

8.       Maintain the building calendar and assist with placing the dates onto the district on-line calendar.

9.       Maintain the log of students adds and drops during the school year.

10.   Maintain the log of curricular materials/resources throughout the school year – including inventory and distribution new materials, check-out system of building curricular resources, disposal/removal of old or unapproved materials, and other curricular resource management as directed by the principal.

11.   Copy, collate, and distribute materials to staff and students.

12.   Manage incoming and outgoing inter-school mail and U.S. mail.

13.   Maintain office records and filing system.

14.   Order office supplies and maintain the supply storage area.

15.   Perform limited nursing duties when school nurse is not in the building.

16.   Make calls for maintenance and supplies for the copy machine, pencil/paper vending machine, and lounge machines.

17.   Prepare supplies, packets, staffing and monies for the August enrollment day(s).

18.   Maintain substitute records and arrange for substitutes when needed.

19.   Fax documents for principal and staff as needed.

20.   Cross-train for and provide backup for the lunch program duties.

21.   Perform other general office duties as assigned.

 

Position Specific Job Functions:

22.   Maintain building signage in timely manner as directed by the principal.

23.   Maintain the building calendar and assist with placing the dates onto the district on-line calendar.

24.   Assist the principal in preparing the monthly newsletter and other correspondence to parents and the public.

25.   Manage all aspects of the activity fund account – daily receipts, daily deposits, disbursements as needed, and monthly/yearly reports.

26.   Compute state and local taxes on activity fund receipts and submit the necessary reports.

27.   Maintain records of monies for enrollment fees, yearbook, special milk, and other fees that may be collected throughout the year.

28.   Interact with principal, teachers, and the central office staff regarding district purchase orders and budget.

29.   Interact with the principal in regard to district, state, and federal reports.

30.   Maintain building fixed assets inventory.

31.   Maintain the After School Care enrollment program on-line, including enrollment of students, accounts payable and receivable duties, and other needs that arise regarding this program.

32.   Track and report monthly to the principal all vending machine receipts and expenditures.

33.   Create and design the school yearbook, if applicable.

34.   Other duties as assigned.

 

Special Physical Requirements:

1.       Must be able to sit and stand at a workstation for long periods of time.

2.       Must have manual dexterity required for consistent and accurate computer input.

3.       Must be able to lift a minimum of 20 lbs.

4.       Must be capable of dealing with noise levels common in the school environment.

5.       Must be able to perform small maintenance on office equipment (ex. copier, printer).

 

Other:

1.       The employee shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the district.

2.       The employee shall serve as a role model for students in how to conduct themselves as citizens and as responsible, intelligent human beings.

 

Term of Employment:

1.       At will.

2.       Regular attendance is required of all employees subject to allowed leave in accordance with district policy.

3.       Selected candidate must pass background check.

4.       Selected candidate must provide health and inoculation certificate.

 

Evaluation:

1.       Performance effectiveness evaluated in accordance with provisions of Kansas Statutes and USD 489 Board of Education policy.

2.       Evaluation will be the responsibility of the principal.
