Description: The Office Coordinator is the administrative and coordinating arm of the member organizations. Utilizing strong and effective communications skills to develop success through cooperation of the different members and the community. The Office Coordinator will oversee and manage the daily operations of the Ellis Alliance and all other duties as assigned.

Education: Some college and/or related work experience.  Must have high school diploma or GED.

Compensation:    An hourly wage rate.

Travel:  As needed, varies.

Essential Skills, Knowledge, Abilities:

Demonstrated commitment to the community of Ellis and its citizens, helping to make Ellis a great place to play, visit, stay, as well as live, work and raise a family.

Proficient in office technologies including printers, phones, computers, internet, Microsoft Office (including Microsoft Word, Excel, PowerPoint, Publisher and Microsoft Photo Editor or Equivalent) and strong working knowledge of QuickBooks.

Strong oral and written communication skills.

Strong administrative and organizational skills and proficiency in general office practices.

Self-motivation to regularly set and achieve work goals, multitask and prioritize, both independently and as an integral part of a team.

 

Essential Functions:

o   Administration

·        Performs administrative support to all member organizations of the Alliance, including attending their meetings, which are often before or after normal business hours.

·        Answer phones and communicate with individuals seeking information about Ellis.

·        Greet & serve visitors.

·        Track and report on services provided.

·        Document best practices and complete project checklists that can create efficiencies for future projects.

·        Present funding requests, proposals and operational updates as needed to the city, the county, member organizations or others.

·        Prepare reports, emails, and correspondence as necessary for meetings and mailings.

·        Manage and coordinate projects associated with our member organizations.

·        Maintain current data on all board members from each member organization.

·        Secure meeting space and schedule meetings as necessary. 

·        Keep the office and outside premises neat, orderly, and clean.

·        Identify building maintenance and upkeep needs.

·        Schedule use of community meeting room.

·        Ability to research, apply or assist in applying for local, regional or national grants to further our community and county.

·        Attend trainings or conferences pertinent to our member organizations or community.

 

o   Financial

·        Perform daily bookkeeping tasks including bank transactions and deposits, process any payments received and complete payroll. 

·        Work with accountant to complete all quarterly and year-end reports and file on time.

·        Prepare necessary information for annual city audit process.

·        Prepare monthly financial statements for Alliance meeting.

·        Create annual budget and ensure adherence to the budget.

·        Estate planning and gift giving knowledge is a plus.

 

o   Community Relations

·        Develop appropriate and inclusive partnerships with member organizations, various civic organizations and local media.

·        Have a visible profile in the community, serving on various community collaborative and boards.

·        Develop and enhance positive relationship with major funding partners.

·        Utilize your unique talent to help community organizations achieve their goals.

 

Physical Skills and Abilities:

Individuals may sit, stand or walk as needed throughout the day.  Individuals will reach above shoulder height, below the waist or lift items as required to file documents or store materials throughout the workday.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. 

 

Working Conditions:

Work is generally performed indoors but may periodically be conducted outdoors.  Work may periodically require travel to assigned locations.
