Job Duty Description:  This is structured administrative support work in the Business Office. Work requires the operation of personal computers and other office equipment; requires communication and confidentiality.

 Minimum Qualifications:  Six months of experience in general office, clerical or administrative support work. Education may be substituted for experience as determined relevant by the agency.

Pay:  $25,688.00 - $34,444.80

Performance Standards:  This position is responsible for all Inmate Benefit Fund (IBF) activities and related tasks.  This position coordinates IBF fundraisers and directly works with vendors and offenders.  Coordinates disbursements, creates event flyers, inventories and orders all items and completes data entry for fundraiser events.  Ensures all IBF vending machines are filled and places orders for vending machines.  Responsible for gathering money from vending machines and assisting in completing associated accounting functions.

Provides support & coverage/backup for the Accounting Specialist, Accountant III and East Unit business office functions as is necessary. Processes Inmate requests for Central Inmate Banking (CIB), Exempt Canteen property forms, and all Basic Indigent Supply Package (BISP) forms received in the business office.  Alphabetizes and scans all necessary business office documentation and filing.  This position is responsible for processing incoming mail.

Coordinates Fresh Favorites Events for offender population.  Completes data entry, tracks Aramark payments for the events & assists in completing associated accounting functions.

 Preferred Requirements:  Knowledge of the operation of office equipment, personal computers and communications systems.  Knowledge of standard formats for letters, memos and reports.  Knowledge of record keeping, and reporting methods.  Ability to apply and explain rules, regulations, policies and procedures.  Ability to understand and follow verbal and written instructions.  Ability to use basic word processing, spreadsheet and database applications.  Ability to establish and maintain effective working relationships.  Ability to enter information in a variety of formats (such as narrative, manuscript, business and statistical, etc.)  Ability to proofread and edit for grammar, spelling, syntax and style; compute, verify and compare figures; detect discrepancies in information or records.  Ability to use basic math to add, subtract, multiply and divide.  Ability to record, file and transmit information.  Ability to communicate effectively both verbally and in writing.  Ability to extract data and formulate reasonable conclusions from a variety of sources.

Selection Process:  Applicants selected for interview will be evaluated by an interview panel using performance/behavior based interview questions, and possibly a performance or written test. The interview panel will make recommendations to the Warden for final approval.  A second interview may be conducted.  Applicants will be subject to background check and criminal history investigation; must pass a drug screen and a TB test unless promoting, transferring, or demoting from another safety sensitive position within the same agency.

Veteran Preference Eligible (VPE):  This position is eligible for veterans’ preference.  Interested veterans must submit a DD 214 to the Department of Administration to be verified as a veteran under K.S.A. 73-201 prior to the vacancy close date.  Verified veterans who meet the selection criteria for this position will be invited for an interview.
