Description

Qualifications: Must have a high school diploma or equivalency. Must have computer knowledge and experience. Excellent math skills are required. Selected candidate must pass background check before first day of employment.

Hours: 8 hours per day, Monday through Friday, 241 days per year

Starting salary: $11.28 per hour + Benefits

Beginning date: December 7, 2020

Purpose: To provide secretarial assistance to the counseling office.
Responsible to: Hays High School Building Administrators
Qualifications/Requirements:
1. High school diploma or equivalency.
2. Experience preferred.
3. Serve as a role model for high school students.
4. Communicate with students, staff, and public in a helpful, positive, and patient manner.
5. Knowledge of computer usage and software.
6. Ability to learn computer software with ease.
7. Accurate in working with all data, including numbers.
8. Maintain confidentiality in all aspects of job.
9. Organized, self-directed worker, cooperative, dependable, exemplary attendance at work.
10. Courteous, helpful, and willing to be flexible in job duties.
11. Ability to adjust and adapt to new situations.
12. Communicate clearly and work collaboratively with staff and community.
Essential Job Functions:
1. Responsible for receiving incoming calls, greeting students, parents, and visitors.
2. Have good rapport with students and faculty.
3. Schedule appointments for the counselors.
4. Be proficient in Word, Excel, Outlook, InDesign, PowerSchool, and other programs.
5. Supervise student aids.
6. Schedule visitations and reserve rooms for college and military representative visits.
7. Request students for counselors and maintain student log throughout the day.
8. Do mailings for teachers (i.e. Honors English Summer Reading)
9. Maintain organization of storage room.
10. Order/purchase all office supplies and counseling materials.
11. Assist with any correspondence and reports when requested.
12. Maintain college and career materials, and all correspondence.
13. Collect and deliver scholarship applications that are processed through the Counseling Office.
14. Request records on all new students, log information and set up cumulative files.
15. Maintain summer school enrollment records.
16. Create and send weekly D & F lists to GPS paras.
17. Prepare for pre-enrollment in PowerSchool with next year set up and student enrollment screens.
18. Make ACT-Activity classes for coaches and sponsors as requested.
19. Keep all current HHS courses up to date in the KCCMS.
20. Register students for PSAT, AP, ASVAB and other tests as well as the ACT Prep Class and collect fees where applicable.
21. Prepare and update the HHS Course Career Guide each year.
22. Track student eligibility for concurrent credit courses and assist with Concurrent Credit Enrollment.
23. Update ACT student scores.
24. File ACT score reports and place stickers on student cumulative files.
25. Perform KIDS Collections when needed (ASGT, EXIT, TEST, etc.).
26. Populate fields for State Assessments and assist in test management.
27. Attend KSDE KIDS Management training as needed.
Marginal Job Functions:
1. Cover the nurse’s office when needed.
Physical Requirements:
1. Secretarial staff should be able to lift a minimum of 20 pounds.
2. Must be able to have lengthy computer posture and sit at a workstation most of an eight-hour workday.
3. Must have manual dexterity for consistent and accurate computer input.
4. Must be capable of dealing with a consistent high level of activity with numerous interruptions.
Other:
1. The employee shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the district.
2. The employee shall not smoke on school grounds or in district vehicles at any time.
3. The employee shall serve as a role model for students in how to conduct themselves as citizens and as responsible, intelligent human beings.
Term of Employment:
1. At will.
2. Regular attendance is required of all employees subject to allowed leave in accordance with district policy.
3. Selected candidate must pass background check.
4. Selected candidate must provide health and inoculation certificate.
Evaluation:
1. Performance effectiveness evaluated in accordance with provisions of Kansas Statutes and USD 489 Board of Education policy.
2. Evaluation will be the responsibility of the supervisor.
