JOB SUMMARY:

  1. Oversees and manages administrative operations of the business office. 
  2. Oversees and manages the patient admitting process throughout the facility. 
  3. Works to eliminate inappropriate barriers to patient admission. 
  4.  Maintains complete and accurate actuarial record of all patient services. 
  5. Ensures compliance with all Joint Commission guidelines that relate to admissions, facility administration, and/or ancillary support services. 
  6. Ensures all facility personnel records meet Valley Hope requirements, regulatory requirements, and/or accrediting agency requirements. 
  7. Manages day to day facility financial activities including facility accounting and facility banking, with a focus on accounts receivable management; manages patient accounting activities based on the needs of the facility. 
  8. Ensures accurate and timely patient insurance and patient account billing while adhering to organizational policy and practices.
  9. Participates in the annual budgeting process under the guidance of the Executive Director.   Provides budgeting recommendations to the ED specific to the business office needs; provides facility data needed to support the overall budget process in partnership with the ED. 
  10. Manages the business office annual budget to ensure financial goals are being achieved and budget met.  Communicates areas of concern and issues to Executive Director as needed.
  11. Supervises the business office support staff. Provides routine performance feedback, ongoing leadership, and mentoring in support of staff development. 
  12. Participates in facility performance improvement activities with an emphasis on administrative services, patient financing, and maximizing cashflow.  Collaborates with facility management staff to identify and implement improvement activities as appropriate across the facility. 
  13. Leads and coordinates all patient financial planning activities at all levels of care in both residential and outpatient facilities; includes identifying payment sources of treatment (insurance, private pay, or patient financing), advising patients of alternative options, and/or securing patient financing for treatment.
  14.  Serves as a liaison between residential and outpatient facilities to ensure continuity of care; provides referral source to outpatient facility as appropriate.
  15. Discusses alternative and non-traditional funding sources with patient/patient families when traditional insurance coverage is not available.   
  16. Advises patients/patient’s family of financing options available through third-party provided loan programs; answers questions, provides estimates of financial responsibility, and reviews payment arrangements.  Interfaces with third-party loan providers on behalf of patient applicants; works to resolve issues related to patient loan application processing, approval, and payment services.
  17. Collects and reviews patient financial data, and determines eligibility for financial assistance including patient’s ability to pay and secure payment arrangements in accordance with company policies and programs and regulatory compliance.
  18. Performs pre-qualification assessment and analysis of patient’s financial condition specific to payment plans and third-party provided loan programs; analyzes and assesses the risk of financing requests within the framework of the company’s policies and programs.
  19. Participates in multi-disciplinary case review; advises facility management team and clinical counselor of any related financial liability to Valley Hope as well as financial issues that may impact or limit a patient’s treatment days (inclusive of any impact when a patient is transitioning to the next level of care).
  20. Works with Utilization Review and serves as primary point of contact for questions or concerns related to patient insurance inquires.

 

 

COMPENSTATION:

Starting Annual Salary: $40,000 - $47,000 (based on experience and education)

EDUCATION & EXPERIENCE

Required:  This position requires the following educational and/or job experience.

  • Associate’s degree in a business-related field or equivalent work experience.
  • Three (3) plus years of work experience in financial counseling, financial planning, or office management.

Preferred:

  • Bachelor’s degree in a business-related field with a preference in business administration or finance.
  • Five (5) plus years of work experience in financial counseling, financial planning, or healthcare office management.
  •  Work experience within business office management in substance abuse treatment facility.

 

 

WORK ENVIRONMENT:  

 

  • Office setting with traditional hours within a residential and/or outpatient treatment facility.
  • Sitting for extended periods of time.
  • Must be able to work at a rapid pace for long periods of time.
  • Able to push, pull, pull up, bend at the knees and waist, twist body at the waist, raise and hold arms overhead, turn head-neck-shoulders as needed, grasp other items with hands, for either extended periods of time or many times throughout the workday.
  • Must be able to travel – estimated at 15-20% of the time.

  • Strong interpersonal skills with the ability to build strong and mutually beneficial relationships with relevant parties.
  • Responsive and flexible; ability to adapt to changes in the work environment and modify approaches or methods to best fit the situation.
  • Demonstrated ability to work with and maintain sensitive and confidential information.
  • Proficient in MS Office applications, which include Outlook, Word, and Excel.
