Job Description

Purpose:  This person provides liaison, office, and clerical support to assist with the efficient operation between the Westside Alternative Program and Base Schools and Districts. 
 
Responsible to:  Assistant Special Education Director/Westside Administrator
 
Qualifications/Requirements:

  1. Must have high school diploma
  2. Preference given to candidates with 2 years or more of college or related work experience.
  3. Must have knowledge of computer usage and application.
  4. Must be able to follow oral and written direction.
  5. Must have the capacity to grasp and adjust to new and changing situations.
  6. Must possess excellent communication and organizational skills.
  7. Must be organized, self-directed, and cooperative.
  8. Must maintain confidentiality in all aspects of job performance.
  9. Must be courteous, helpful, and willing to be inconvenienced in order to get the job done.
  10. Must have the ability to communicate and work effectively and cooperatively with members of the school district and community.
  11. Must have knowledge of computer usage and application to enter behavior data for communication with base schools.
  12. Must have leadership skills to support staff and students on occasion when the assistant special education director is out the building for other duties.
  13. Must support students, families and staff with grace, empathy and flexibility as they support a trauma informed building.

 
Shared Job Functions:

  1. Greet and work with families, visitors, staff, and students in a positive, friendly manner.
  2. Answer telephone, take messages, and refer calls for staff members and students.
  3. Perform secretarial duties for the principal, teachers and other staff as requested.
  4. Enter and maintain accurate data on staff and students in student data program(s), including daily attendance, demographics, contact information, and enrollment of new students.
  5. Maintain daily attendance, daily reports, and the student sign-in/sign-out book.
  6. Maintain the visitor check-in/check-out system.
  7. Maintain the daily log of the school year.
  8. Maintain the building calendar and assist with placing the dates onto the district on-line calendar.
  9. Maintain the log of students adds and drops during the school year.
  10. Support students and families who are transitioning to Westside in a systematic way.
  11. Maintain the log of student transitions to and from their base schools.
  12. Maintain the log of curricular materials/resources throughout the school year – including inventory and distribution new materials, check-out system of building curricular resources, disposal/removal of old or unapproved materials, and other curricular resource management as directed by the principal.
  13. Copy, collate, and distribute materials to staff and students.
  14. Manage incoming and outgoing inter-school mail and U.S. mail.
  15. Maintain office records and filing system.
  16. Order office supplies and maintain the supply storage area.
  17. Perform limited nursing duties, including giving daily medications per school nurse guidance and calling assigned nurse as needed for injuries and emergencies.
  18. Make calls for maintenance and supplies for the copy machine.
  19. Put in technology and maintenance tickets for building needs as applicable.
  20. Maintain substitute records and arrange for substitutes when needed.
  21. Fax documents for administrator and staff as needed.
  22. Prepare daily lunch count, facilitate grab and go breakfast and family style lunch when needed.
  23. Coordinate and communicate student busing needs with the bus barn and base schools.
  24. Support students with self-regulation and calming as needed.
  25. Perform other general office duties as assigned.


 Position Specific Job Functions:

  1. Promote family engagement (including promoting base school events, calling families to remind them of appointments and team meetings, and supporting quarterly school family nights.)   
  2. Maintain building signage in timely manner as directed by the administration.
  3. Maintain the building calendar and assist with placing the dates onto the district on-line calendar as a applicable.
  4. Assist in preparing the monthly newsletter and other correspondence to families and the public.
  5. Interact with principals, teachers, the central office staff and transportation regarding students coming and going.
  6. Interact with the principals in regard to district, state, and federal reports for discipline records.
  7. Maintain building fixed assets inventory.
  8. Other duties as assigned.


 Special Physical Requirements:

  1. Must be able to sit and stand at a workstation for long periods of time.
  2. Must have manual dexterity required for consistent and accurate computer input.
  3. Must be able to lift a minimum of 20 lbs.
  4. Must be capable of dealing with noise levels common in the school environment.
  5. Must be able to perform small maintenance on office equipment (ex. copier, printer).


 Other:

  1. The employee shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the district.
  2. The employee shall serve as a role model for students in how to conduct themselves as citizens and as responsible, intelligent human beings.

 
Term of Employment:

  1. At will.
  2. Regular attendance is required of all employees subject to allowed leave in accordance with district policy.
  3. Selected candidate must pass background check.
  4. Selected candidate must provide health and inoculation certificate.

 
Evaluation:

  1. Performance effectiveness evaluated in accordance with provisions of Kansas Statutes and USD 489 Board of Education policy.
  2. Evaluation will be the responsibility of the principal.
