Starting salary: $12.17 per hour + full benefits

Job Description:

The Coordinator provides support to the Director of Buildings & Grounds.  The Coordinator performs a variety of customer service, clerical, and administrative duties according to established procedures and policies, under little or no direct supervision.

 Qualifications/Requirements:

1.       Must have high school diploma or equivalency.

2.       Must have knowledge of computer usage and application.

3.       Must be accurate in working with and keying in numbers.

4.       Must have prior clerical experience.

5.       Must be able to follow oral and written direction.

6.       Must have the capacity to grasp and adjust to new and changing situations.

7.       Must possess excellent communication and organizational skills.

8.       Must be organized, self-directed, and cooperative.

9.       Must maintain confidentiality in all aspects of job performance.

10.   Must be courteous, helpful, and willing to be inconvenienced in order to get the job done.

11.   Must have the ability to communicate and work effectively and cooperatively with members of the school district and community.

 

Essential Job Functions:

1.       Provides specialized administrative support by composing, collecting, and organizing office correspondence or reports, proofs and edits any correspondence. 

2.       Prepares documents that may require use of advanced software features that includes integration of spreadsheets, queries, tables, and multiple databases.  Some documents may be of a sensitive or confidential nature. 

3.       Coordinates appointments, meetings, agendas, travel, and scheduling for department.  Keeps meeting minutes and properly distributes them as required. 

4.       Assists with budget planning and tracking.

5.       Generates and routes all department purchase order numbers. 

6.       Responsible for creating project tax exemption documentation. 

7.       Get needed information ready for auditors.

8.       Carry out bid procedures:  collect data, update specifications, issue bids, analyze returned bids and keep all required records and files.  Inventory and distribute items when necessary.

9.       Facilitate fixed asset inventory listing and tagging for department items. 

10.   Coordinate district building use, maintain schedule and issue monthly bills to appropriate groups.

11.   Coordinate all contracted services for district (pest, snow removal, trash, recycling, etc.)

12.   Create and maintain department Standard Operating Procedure (SOP) manuals for all positions in department. 

13.   Manage department vacancy notices and advertising for vacancies.

14.   Responsible for scheduling new custodial/maintenance pre-employment physical appointments. 

15.   Responsible for entering department leaves and absences in AESOP.  Keeps up-to-date totals of department leave availability.

16.   Maintain and update asbestos files; type periodical and 3-year re-inspection sheets; notify all district staff, students and parents annually regarding asbestos maintenance.

17.   Maintain and update safety data sheet database.

18.   Coordinate the process of selling surplus district items.

19.   Serve on the district Crisis Committee and take meeting notes as needed.

20.   Assist with district Safety Committee

21.   Initiates and directs the review of forms and procedures utilized in the maintenance & custodial department for the purpose of simplifying and maximizing the processing of all data and information.

22.   Performs other duties as assigned.

 

Marginal Job Functions:

1.       Attends education in-services/trainings to keep current with regulations and other information.

2.       Relay messages over the radio to the maintenance or transportation departments when needed.

3.       Send district correspondence as needed.

 

Special Physical Requirements:

1.       Must be able to sit at a work station most of an eight-hour day.

2.       Must have manual dexterity for continual computer input.

 

Other:

1.       The employee must observe and follow all school district policies at all times.

2.       The employee shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the district.

 

Terms of Employment:

1.       At will.

2.       Regular attendance is required of all employees subject to allowed leave in accordance with district policy.

3.       Selected candidate must pass background check.

4.       Selected candidate must provide health and inoculation certificate.
